1. Introduction

Bioflow (“we”, “us”, or “our”) is a platform that allows users to centralize their social media links on a single customizable profile page that can be shared publicly. We are committed to protecting the privacy of our users and handling their personal data with transparency, security, and full respect for applicable law.

This Privacy Policy describes what information we collect, how we use it, with whom we share it, and what rights you have as a data subject. By registering and using Bioflow, you accept the practices described in this document.

3. Personal Data We Collect

3.1 Data you provide to us

When you create a Bioflow account, we collect the following information:

  • Name or username
  • Email address
  • Password (stored in encrypted form; never in plain text)
  • Profile picture (optional)
  • Bio or profile description (optional)
  • Date of birth (optional; provided only to enable birthday rewards via the loyalty program)
  • Links to your social media profiles and websites
  • Registration method (email, Google, etc.)

3.2 Data collected automatically upon registration

At the time of registration, we automatically collect certain technical information:

  • IP address
  • Country and city (via IP geolocation)
  • Device type (mobile, desktop, tablet)
  • Operating system and version
  • Web browser and version
  • Browser language
  • Time zone
  • Exact date and time of registration
  • Acquisition source (UTM parameters / referrer — the page you came from)

3.3 Usage data and in-platform events

Once your account is active, we record key events to improve the service:

  • Date and time of your first added link
  • Number of links in your profile and connected platforms
  • Date of last profile update
  • Login history (date, time, device, IP address)

3.4 Data about visitors to your public profile

When third parties visit your Bioflow profile page, we collect:

  • Visitor IP address and country
  • Device type and browser
  • Date and time of the visit
  • Link clicked
  • Referring page (referrer)

This information is used to provide profile analytics to registered Bioflow users (you), and is not used to individually identify visitors.

3.5 Data about shortlink clicks (bflw.me)

When a visitor clicks a Bioflow short link (hosted on bflw.me), we record the following information to provide click analytics to the link owner:

  • A one-way cryptographic hash of the visitor’s IP address (the original IP is never stored)
  • Country of origin (derived from the IP address at collection time)
  • Referring domain (e.g. “instagram.com”; full URLs are not stored)
  • Date and time of the click

Because IP addresses are hashed before storage, it is technically impossible for Bioflow to recover the original IP from stored data. This information is used solely to provide click analytics to the shortlink owner and is never used to identify individual visitors.

3.6 Custom fonts (Pro profiles)

Pro users may select a custom Google Font for their public profile. When a visitor loads a profile with a custom font, their browser makes a direct request to Google Fonts (fonts.googleapis.com), which may result in Google receiving the visitor’s IP address and user agent. This is subject to Google’s Privacy Policy. Profiles using the default font do not trigger any Google Fonts request.

3.7 Loyalty program data

If you use the loyalty program feature as a creator, or enroll as a member in another creator’s program, we collect and store additional data to operate that feature:

  • Creator: loyalty card configuration (name, stamp count, reward description), referral link, QR code identifier
  • Member: email address, date of birth (optional, for birthday rewards), referral relationships (who referred whom), QR scan timestamps

Loyalty member data is processed on behalf of the creator who runs the program. Creators are responsible for obtaining appropriate consent from their members before enrolling them. Bioflow acts as a data processor for loyalty member data on behalf of the creator; the terms governing that processor relationship are set out in the Loyalty Program section of our Terms and Conditions.

4. Purposes of Data Processing

4.1 Primary purposes (required for the service)

  • Create and manage your Bioflow account
  • Allow you to configure and publish your personalized profile page
  • Ensure the security of your account and detect unauthorized access
  • Provide technical support and handle customer service requests
  • Comply with applicable legal obligations

4.2 Secondary purposes (service improvement and analytics)

With your consent or based on our legitimate interest, we also use your data to:

  • Analyze aggregated usage metrics (registration country, device type, acquisition source) to improve the platform
  • Understand which social networks are most connected to prioritize new feature development
  • Send communications about service updates, new features, or important notices
  • Send marketing communications (only with your explicit consent and with an opt-out option at any time)

5. Legal Basis for Processing

The processing of your personal data is based on the following legal grounds:

  • Contract performance: to provide you with the Bioflow service in accordance with our Terms and Conditions.
  • Legitimate interest: to improve the platform, ensure security, and prevent fraud.
  • Consent: for marketing communications, non-essential cookies, and optional analytics — including analytics in the mobile app, which is off until you accept it (section 6.1).
  • Legal obligation: when the law requires us to retain or disclose information.

6. Cookies and Tracking Technologies

Bioflow uses cookies and similar technologies for site functionality, session authentication, and — only with your consent — usage analytics. When you first visit, a banner lets you accept or decline non-essential (analytics) cookies; analytics tools load only after you accept. Essential cookies are required for the platform to function and cannot be disabled.

6.1 Analytics in the Bioflow mobile app

The Bioflow app for Android can use Firebase Analytics, a Google service, to record which screens are opened (screen_view events) so we can see which parts of the app are used and which are not.

It is switched off until you say yes. No analytics event leaves your device before you accept. The first time you open the app while signed in, it explains what would be recorded and asks you to choose; until you answer, and if you decline, nothing is collected. If you never sign in, nothing is collected either — not being asked is never treated as a yes. This applies to everyone, including people who already had the app installed before we introduced the choice.

You can change your mind at any time in the app, under More → Privacy. Withdrawing is as easy as giving it, takes effect immediately, and stops any further collection. If you decline, we remember it and do not ask again. Your choice is also signalled to Google through Firebase’s consent mode.

If you do accept, what we receive is limited:

  • Only which screens are opened. Never the content of your profile, your links, your messages or anything you write.
  • It is pseudonymous. Events are tied to an app-instance identifier generated on your device, not to your Bioflow account. We do not join that identifier to your account, your email or your profile.
  • You can reset it. Reinstalling the app, or clearing its data, generates a new identifier and breaks the link with everything recorded before.
  • No advertising identifier is collected, and we do not use these events for advertising, nor share them with advertisers.
  • The processor is Google, under the same terms described in section 7.1.

This applies only to the mobile app. The website is covered by the cookie table above. Push notifications are separate: they are not analytics, and they have their own switch in the app’s notification settings.

7. Data Sharing and Transfers

Bioflow does not sell your personal data to third parties. We may share information in the following cases:

  • Service providers: companies that help us operate Bioflow (hosting, analytics, support), who are bound by confidentiality agreements and only process data under our instructions.
  • Authentication providers: if you use “Sign in with Google” or another OAuth provider, we will receive basic profile information in accordance with their policies.
  • Legal compliance: we may disclose data when required by a competent authority or applicable law.
  • Corporate transactions: in the event of a merger, acquisition, or asset sale, data may be transferred, with prior notice to you.

We will never share your data with advertisers for personalized advertising without your explicit consent.

7.1 Third-party data processors

In order to operate the Service, Bioflow shares certain data with the following third-party processors, each of whom acts under our instructions and is contractually bound to protect your information:

Each provider is subject to their own privacy policy and data processing terms, which we encourage you to review. We will update this list if we add or remove processors.

Some processors operate outside your country of residence (for example, in the United States), which may involve international transfers of data. Where required by applicable law, such transfers rely on appropriate safeguards, such as the European Commission’s Standard Contractual Clauses or the EU–US Data Privacy Framework.

8. Data Retention

We retain your personal data for as long as your account is active. Once you delete your account, we will delete or anonymize your data within 30 days, unless the law requires us to retain it for an additional period (e.g., for tax or legal obligations).

Specific retention periods by data category:

  • Account data: kept while your account is active; deleted or anonymized within 30 days of account deletion.
  • Public-profile visitor analytics (IP, country, device): retained for a maximum of 12 months, then permanently anonymized.
  • Login history: retained for up to 12 months for security and fraud-prevention purposes, then deleted.
  • Shortlink click data: stored with a one-way hash of the IP address (not re-identifiable) for as long as the short link exists; deleted when the short link or your account is deleted.
  • Loyalty program data: retained while the program or membership is active; deleted or anonymized within 30 days after the program ends, the membership is removed, or the account is deleted.

9. Security Measures

We implement technical and organizational measures to protect your data, including:

  • Password encryption using secure algorithms (bcrypt or equivalent)
  • Optional two-factor authentication (2FA) you can enable to protect access to your account
  • Data transmission via HTTPS / TLS
  • Restricted access to personal data within the Bioflow team
  • Monitoring for unusual access and security alerts

While we take all reasonable measures, no system is 100% foolproof. If a security breach affects your personal data, we will notify affected users without undue delay, and we will notify the competent data protection authorities where and within the timelines required by applicable law.

10. Your Data Rights

The specific rights available to you depend on where you live. Wherever you are, you can contact us at [email protected] to exercise any applicable right. Your request should include your full name, the email address registered with Bioflow, and a description of the right you wish to exercise. We will not discriminate against you for exercising your rights.

You can delete your account yourself at any time, without writing to us: how to delete your Bioflow account sets out the steps, what is erased and what we keep. That page is public, so it also works if you have lost access to your account.

10.1 Mexico (ARCO rights)

Under the Federal Law on Protection of Personal Data Held by Private Parties (LFPDPPP) of Mexico, you have the rights of:

  • Access: know what personal data we hold about you and how we use it.
  • Rectification: request the correction of inaccurate or incomplete data.
  • Cancellation: request the deletion of your data when it is no longer necessary.
  • Opposition: object to the processing of your data for specific purposes.

We respond to ARCO requests within a maximum of 20 business days.

10.2 European Economic Area and United Kingdom (GDPR)

If you are in the EEA or the UK, under the GDPR and UK GDPR you have the right to:

  • Access your personal data and obtain a copy of it;
  • Rectify inaccurate or incomplete data;
  • Erase your data (the “right to be forgotten”) where applicable;
  • Restrict or object to certain processing, including processing based on our legitimate interest;
  • Data portability — receive your data in a structured, commonly used, machine-readable format;
  • Withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal;
  • Not be subject to decisions based solely on automated processing that produce legal or similarly significant effects (we do not carry out such decision-making).

The legal bases we rely on are described in section 5, and the safeguards for international transfers in section 7. You also have the right to lodge a complaint with your local data protection supervisory authority. We respond to GDPR requests within one month, which may be extended by two further months for complex requests.

10.3 California (CCPA / CPRA)

If you are a California resident, under the CCPA (as amended by the CPRA) you have the right to:

  • Know the categories and specific pieces of personal information we collect, use, and disclose;
  • Delete personal information we have collected, subject to legal exceptions;
  • Correct inaccurate personal information;
  • Opt out of the “sale” or “sharing” of personal information;
  • Limit the use of sensitive personal information;
  • Not receive discriminatory treatment for exercising these rights.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. You may submit a request yourself or through an authorized agent; we may need to verify your identity before responding.

11. Protection of Minors

Bioflow is intended only for users aged 18 or older and is not directed at minors. We do not knowingly collect personal data from anyone under the age of 18. If you are a parent or guardian and believe a minor has provided data to Bioflow, please contact us at [email protected] and we will promptly delete that information.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and/or through a prominent notice on the platform before the changes take effect. Your continued use of Bioflow after notification constitutes your acceptance of the changes.

13. Third-Party Preview Profiles

Bioflow provides its clients (registered businesses or professionals) with a preview profile feature that allows them to create a profile preview on behalf of a third party (for example, a prospective customer) before that third party registers.

  • Legal basis: legitimate interest of the Bioflow client in presenting their commercial proposal (Art. 6.1.f GDPR). The profile contains only information provided by the client; we do not scrape photos or social-media data.
  • Data stored: name, bio, and links provided by the client. No sensitive data is stored.
  • Automatic expiry: preview profiles expire automatically after 21 days if unclaimed and are deleted from our systems.
  • Right to erasure: the profile subject may request deletion at any time via bioflow.io/contact. We will process the request within 72 hours.
  • No indexing: preview profiles carry the noindex directive and do not appear in search engines.
